TRAVEL SERVICES AGREEMENT 

These Terms and Conditions apply to Grand Canyon Guru's Travel Services Agreement

BACKGROUND

-Kaibab Media LLC, dba Grand Canyon Guru (“GCG”), is registered with the State of Florida as a Seller of Travel and IATAN accredited travel agency. 

-Kaibab Media LLC, dba Grand Canyon Guru (“GCG”) uses its expertise in designing, planning, and booking custom travel experiences and tours to the Grand Canyon and nearby destinations, to provide professional travel planning and booking services to travelers (“Travel Services” “Services”).

-Client desires to retain GCG to provide the Services as set forth in this Travel Services Agreement.

Accordingly, the Parties agree as follows:

1. SECTION 1:SERVICE AGREEMENT. SCOPE OF SERVICES. SUPPLIERS. 

1.1. Travel Services Agreement. Client understands and agrees that this Travel Services Agreement affects certain important legal rights including waivers of liability as part of the contract for Services with GCG and its Suppliers. This Travel Service Agreement includes all additional Terms & Conditions listed below in Section 1.1.1 Related Agreements. Policies. Terms & Conditions, which are incorporated by reference to this Travel Services Agreement, and collectively form the basis of Clients contract for Services with GCG and its Suppliers (“Travel Services Agreement”, “Service Agreement”). GCG’s website, which is referenced in this Service Agreement, can be found at www.grandcanyonguru.com.

1.1.1. Related Agreements. Policies. Terms & Conditions. Client understand that by purchasing Services from GCG, Client is entering into one or more separate agreements with GCG and Suppliers, and are subject to their Terms. Client understands and agrees to be bound by the following Additional Terms & Conditions (individually and collectively the “Terms & Conditions”, “Terms”):

1.1.1.1.  Booking Confirmations, Itineraries and other correspondence by GCG related to the Services indicating  additional terms and conditions;

1.1.1.4. Traveler Liability Waiver & Release (“Release Agreement”);

1.1.1.8. Updated versions of these Terms & Conditions as may be changed from time to time as set forth herein.

1.1.2. Tours. Supplier Terms. GCG organizes, promotes and sells a variety of Tour options including private guided tours, self guided tours, DIY tours, pre-packaged tours, and similar travel arrangements (“Guru Tours”). Guru Tours consist of a variety of individual planned events, outings, reservations, activities, and tour plans, which are provided by independent Suppliers (“Tour Activities”). Client acknowledges and agrees that the Tour Activities included in any tour or travel arrangements, are provided by independent Suppliers and vendors, including without limitation, hotels, tour operators, travel guides, transportation companies, other providers of the Tour Activities and arrangements on a Tour Itinerary (“Suppliers”). Each Supplier has its own terms and conditions that are applicable to Clients travel and Tour Activities. Client and all participating Travelers acknowledge they will be entering into a legally binding contract with each Supplier when purchasing a Guru Tour or travel arrangements, and agrees to be bound by each Suppliers terms, for which GCG has no control. Supplier terms and conditions are typically available directly on the Suppliers websites. GCG may use reasonable efforts to provide Suppliers Terms to Client, but it is Clients sole responsibly to be aware of all applicable terms and conditions. GCG makes no guarantee as to the accuracy or completeness of any Supplier terms and conditions provided to Client. If there is any inconsistency between a Suppliers terms and conditions and this Service Agreement, the Suppliers terms and conditions shall prevail.

1.1.3. Changes to Terms & Conditions.  These Terms are subject to change without notice and it is Clients responsibility to review the then-current Terms in effect on the date of any future engagement or agreement between Client and GCG. Client acknowledges and agrees that GCG and its Suppliers reserves the right, in their sole discretion, to change their respective Terms & Conditions at any time. Clients continued use of the Services, including maintaining any Bookings after Notice of any change constitutes Clients consent to such changes.

1.2. Scope of GCG Services. GCG designs, plans, and books custom travel experiences and tours to the Grand Canyon and nearby destinations. GCG’s service offerings include without limitation, Tour Design & Coaching Services, Custom Tours, Professional Travel Booking Services, and similar travel support and management services (“Services”). The Scope of Services and their associated costs & fee’s are outlined in SCHEDULE A: Guru Pro Service Terms & Fee Schedule, which is attached and incorporated into this Service Agreement (“Scope of Services”). The specific Scope of Services to be provided by GCG to Client will be determined by Clients service selections at the time of purchase, or as otherwise set forth herein. GCG Services and Service Fees, are separate and distinct from Suppliers services.

1.3. Relationship Between Parties. Authority to Act. Client understands and agrees that in performing the Services GCG limited scope of possible obligations to to Client include facilitating the design of custom travel itineraries, (making travel bookings on Client behalf, and to arrange relevant contracts between Client and Suppliers. Suppliers are responsible to Clients for providing the relevant Tour Activities and travel services included in Clients itinerary, and are separate to the Services provided by GCG. GCG has no responsibility for the Suppliers services, or any Tour Activities, nor does GCG have authority to make any warranty or representation regarding any Suppliers standards, performance, or capabilities. GCG does not own, operate, manage or control the independent Suppliers and is not liable for any of their acts or omissions. Client understands and agrees that Client has no legal recourse against GCG for the conduct of any Supplier, including without limitation Suppliers failure to provide a services or cancellation of a Tour or portion thereof.. Client’s legal recourse, if any, is against the specific Supplier and not GCG. Client understands that performance of the Services may require GCG to enter into agreements and pay deposits or costs upfront in order to secure such travel for Clients benefit and Client hereby delegates authorization and signature authority to GCG to enter into such contracts, book reservations, and make purchases from Suppliers on Clients behalf.

2. SECTION 2: GURU TOURS & TRAVELER TERMS & CONDITIONS

2.1. Reasonable Efforts. Availability of Services. GCG will use reasonable efforts to incorporate Client’s suggestions and desires when designing Tour Itineraries and travel arrangements. However, Client acknowledges the subjective nature of the Service and grants GCG freedom to use their professional judgment in designing Tour Itineraries, which may not include strict adherence to Client’s suggestions. Clients dissatisfaction with GCG’s judgment, creative ability and/or the subjective quality of the Tour Itinerary are not valid reasons for a refund of any kind. GCG will do its best to secure the services and Tour Activities included in the Clients Tour Itinerary; however, Client acknowledges that the availability of such services and Tour Activities is not guaranteed. Due to the nature of Grand Canyon area travel, published Tour Itineraries are for guidance purposes only and may be adjusted, at any time, due to unforeseen circumstances including: any weather, wildlife, medical emergencies and any other other conditions beyond GCG’s control, and at the sole discretion of GCG and their Suppliers. Client acknowledges that all tour duration, pickup and return times are approximate.

2.2.Tour Inclusions. Exclusions. Due to customization, the tour and travel costs, itinerary details, inclusions and specific terms & conditions for each Guru Tour will vary greatly. Specific Tour Activities included in each Guru Tour will vary greatly. Clients should refer to their accepted Tour Itinerary, Booking Confirmation, or other relevant travel documentation, for the details for  their Guru Tour. Guru Tours typically DO NOT INCLUDE: travel insurance; international and/or domestic air transportation and related fees; costs associated with obtaining passports or entry visas; border fees; airport departure taxes; excess baggage charges and handling; gratuities to tour guides and private drivers, meals and/or beverages (other than those noted as included in the Tour Itinerary); room service; personal expenses such as laundry, communication charges, internet access; tour activities and services noted as optional in the Tour Itinerary; and any other items not specifically noted as included in Clients Tour Itinerary or Booking Confirmation documents. 

2.2.1. Add-On Tour Option. Clients may have the option to include add-on tours when purchasing a Guru Tour or other travel arrangements. Add-on tours may be private or group tours, and the selected add-on tours will be include in the Tour Costs due at the time of purchase.

2.2.2. Private Guides. Private Guides are available as an optional add-on for select Guru Tours. Private guide service includes a private driver and/or guide for Clients Guru Tour (“Private Guide”). Private Guides are available for the entire duration or a portion of Clients Tour or travel arrangements. Fees and additional terms applicable to the Private Guide add-on can be found in the attached Schedule A: Service Terms & Fee Schedule

2.2.4.Optional Tour Activities. Clients may have opportunities to participate in Optional Activities and/or local events which are not noted as included in the Tour Itinerary or reflected in the estimated Total Tour Costs provided by GCG. Optional Activities and events may include hiking, whitewater rafting, smooth water rafting, jeep tours, horseback riding, scenic flights, local festivals, concerts and other similar activities and events (“Optional Activities”). GCG makes no representations about the safety or quality of the Optional Activities or the respective suppliers of the Optional Activities. Client understands and accepts that any assistance given by GCG or its authorized Suppliers to arrange any Optional Activities is done in good faith. GCG does not sponsor or endorse these Optional Activities and will not be held liable for any loss, claim, damage or injury resulting from Travelers participation. Travelers participation in Optional Activities is voluntarily and necessary precautions should be taken by each Traveler to ensure their own safety. Optional Activities and additional services listed as not included in the Clients accepted Tour Itinerary and/or Tour Booking confirmation will incur additional fees, for which Traveler is solely responsible. Payment is generally made during the tour at the time the Optional Activities are purchased.

2.3. Tour Booking Conditions & Requirements. The following Tour Booking Conditions & Requirements apply to Guru Tours, unless noted otherwise.

2.3.1. Tour Acceptance. Guru Tours will be held available to purchase by Client for forty-eight (48) hours following receipt and acceptance of a Tour Itinerary and quoted Tour Costs, subject to availability by any included Suppliers. GCG cannot guarantee that any accepted Tour Itinerary will be available for purchase for the entire forty-eight (48) hours for which it is held for the Client. Full payment of the total Tour Costs for the selected Guru Tour is required prior to GCG completing any Bookings on Clients behalf. 

2.3.2. Tour Bookings. Bookings shall mean all travel reservations and purchases of travel services from Suppliers included in Clients purchased Guru Tour or other travel arrangements, made by GCG on behalf of the Client (“Booking”). No Tour Bookings will be made or confirmed until the estimated Total Tour Costs reflected on Clients Invoice is made in full and received by GCG.

2.3.3. Credit Card Authorization. Participant Liability Waiver. Client acknowledges that a credit card may be required for GCG to complete any Bookings, and Client agrees complete a Credit Card Authorization whenever necessary to provide the Services. Additionally, in order for GCG to proceed with completing any Bookings, GCG requires each participating Traveler to acknowledge and agree to all the Terms & Conditions of this Services  Agreement, and execute a Traveler Waiver & Release of Liability.

2.3.4. Timeliness. GCG works diligently to create custom itineraries for Clients, and to book travel arrangements with Suppliers in a timely manner. Client acknowledges and understands that time is often of the essence in the delivery of GCG’s Services, and in retaining availability and pricing. Client understands GCG and Suppliers reserve the right to cancel any Services, Tours or Bookings due to Clients failure to meet any specified time deadlines, and GCG will not be liable for any cancellations or losses caused by Clients failure to meet any time deadlines.

2.4. Group Travel. Client understands and agrees that by signing this Service Agreement and/or purchasing a Guru Tour, Client is accepting and consenting to this Service Agreement on behalf of all personas intending to travel on the same tour itinerary or reservations. Client is responsible for upholding all Client obligations and/or responsibilities described in this Service Agreement, including all financial obligations to pay all and all costs and fees for any Services Guru Tours, Tour Activities, and/or other travel arrangements as set forth herein. If Client is making travel reservations and Bookings for another person(s), Client is responsible for ensuring all Participants have read this Service Agreement and agree with the terms. GCG is not liable for any Travelers’ unawareness of these terms due to the failure of the undersigned Clients to share this Service Agreement with all participating Travelers’. Client represents and warrants that Client has the authority to act on behalf of all other such Travelers and understands that all Travelers will be required to sign a Traveler Waiver and Release prior to travel. Client affirms that all information supplied to GCG is true, current, complete and accurate, and that no participating Travelers are unaccompanied minors.

2.5. Minor Travelers. All Travelers must be eighteen (18) years of age or older to participate in a Guru Tours unless they are accompanied by an adult. Some Guru Tours and Tour Activities may have a minimum age requirement. Some accommodations require that minors below a certain age share a room with an adult. For parents or guardians traveling alone with a child it is recommended to carry documentation that proves the relationship to the child (e.g., birth certificate) and evidence that they have permission to travel with the child (e.g., consent letter). Travelers traveling with children who are not related are recommended to carry documentation which provides evidence they have permission to travel with the child. Travelers are advised to check with the appropriate government authority to determine the necessary documents required for travel with children. GCG cannot be held responsible should the guest, child or any member of the traveling party be denied entry to a country or tour due to noncompliance with any applicable requirements.

2.6. Active Elements. By purchasing a Guru Tour, Travelers acknowledge the tours are adventurous by nature and may involve a significant amount of personal risk. In order to enjoy the selected tour as intended, a minimum level of fitness is required. Traveler is responsible for purchasing a tour that fits Travelers desired comfort level and only participating in Tour Activities that are suitable for the personal fitness level and capabilities of the traveling group. Suppliers may have additional requirements to participate in certain Tour Activities, such as minimum age or minimum/maximum height or weight, or for Travelers to produce a doctor’s certificate prior to the tour departure date.

2.7. Pre Existing Medical Conditions. Persons with Disabilities. Travelers must notify GCG prior to purchase if any Travelers have any special requirements, physical or other disability or pre-existing medical condition which may affect travel, the booking process, prevent participation in active elements of any tour, or could create a hazard for themselves or other Travelers. GCG will make reasonable efforts to accommodate a disability-related request for accommodation. GCG will communicate requests to Suppliers, but cannot be responsible if ADA accommodations are not available. Any accommodations provided will be at the sole expense of the Traveler requiring the accommodation. If GCG or its authorized Suppliers, in their sole discretion are unable to properly accommodate the need of the person(s) concerned, or believes health and safety may be compromised, GCG reserves the right to refuse participation in any Tour or portion thereof. GCG and its Suppliers cannot provide special individual assistance to passengers with special needs for walking, dining or other routine activities or personal services. If Traveler has a condition that requires special equipment or treatment Traveler must bring and be responsible for all necessary items related to their condition. GCG is not liable for any injuries or damages Traveler may suffer relating to such a condition, including without limitation loss of special equipment, lack of assistance with or accommodation of special needs, and unavailability of medical assistance or treatment.

2.8. Transportation. Seat Belt Policy. In the United States, state laws require that all passengers within tour operator vehicles wear their seatbelts at all times while the vehicle is in motion. Tour guides and drivers have been instructed to follow this policy, which does not allow any vehicle to move unless every passenger is wearing a seat belt. This requirement is not only for Travelers safety but also for the safety of others in the vehicle. It is each Travelers responsibility to wear their seatbelt properly and at all times while the vehicle is in motion.

2.9. Accommodations. Most hotels allow check-in to take place during the mid afternoon. Requests for early check-in cannot be guaranteed and are based on hotel availability at the sole discretion of each hotel. Upgrades may be available at individual hotels for an additional cost. Special requests such as adjacent or connecting rooms, bedding requests, smoking rooms and special dietary needs should be advised at time of purchase. GCG will make reasonable efforts to secure special requests; however, GCG makes no guarantees.

2.10. Baggage. Baggage and personal effects are at all times the sole responsibility of each participating Traveler. GCG provides porterage of up to two (2) pieces of baggage per person. If additional baggage is needed, Client is responsible for requesting approval from GCG prior to the tour departure date. GCG is not responsible for securing or protecting Travelers baggage or belongings at any time during any tour. Travelers should note that the included luggage allowance for airline carriers may be less than two (2) pieces of baggage and weight/size restrictions and additional costs may apply for which Travelers are solely responsible for payment.

2.11. Photographs & Video. GCG reserves the right to take photographs and video during Tours. By purchasing a Custom Tour, Travelers grant GCG the right and permission to use and publish Travelers image, or likeness, without compensation, for commercial, advertising, editorial, or any other purpose; and in any manner and medium, whether now known or hereafter devised; and to alter and composite the same without restriction and without Travelers inspection or approval. Traveler hereby release and discharge GCG from and against any and all claims, liabilities, costs, damages and expenses of any kind arising out of or relating to the use by GCG of Travelers image or likeness. If any Traveler prefers that their image or likeness not be used, Traveler must advise GCG in writing, no later than thirty (30) days prior to the tour departure date. Photographs and video of the tour may be submitted to GCG by Traveler or by third parties such as (but not limited to) other travelers, tour guides, crew, or staff members. By submitting such photographs or video, the party making the submission is representing and warranting (a) that the photo is their original work created solely by themselves and does not infringe the intellectual property rights of any party; (b) that they have obtained any and all necessary releases from subjects depicted in said original work; (c) that they grant to GCG a worldwide, royalty-free, perpetual, transferable, irrevocable, non-exclusive and fully sub-licensable right and license to use, in any and all media whether now known or hereafter devised, in perpetuity, anywhere in the world, with the right to make any and all commercial or other uses, including without limitation, reproducing, editing, modifying, adapting, publishing, displaying publicly, creating derivative works from, incorporating into other works or modifying the photo and (d) that they hereby release and discharge GCG from and against any and all claims, liabilities, costs, damages and expenses of any kind arising out of or relating to the use by us of any photo or video submitted.

2.12. Travel Documents; Passports & Visas. Travelers are responsible for having all the required travel documents and tickets prior to the tour departure dates, or as noted in the Tour Itinerary. GCG is not responsible for delays, changes, or cancellation costs due to incorrect, incomplete or expired traveler documents. In the event that Traveler must cancel, delay or reschedule a tour due to expired or missing travel documentation, Travelers are responsible for all associated costs incurred. Travelers assume complete and full responsibility for, and hereby release GCG from any duty of, checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety or security conditions at such destinations. The name, date of birth and gender that appears on Travelers passport or government issued ID must exactly match the same such data that is listed on airline ticket(s) and reservation records. When traveling internationally, it is important to ensure all Travelers have valid passports, visas and re-entry permits which meets the requirements of immigration and the government authorities. Many countries require at least six (6) months validity from the date of return, some countries also require a machine readable passport and/or unstamped available pages. Client is responsible for any expenses incurred as a result of delays or itinerary changes related to your lack of appropriate travel documents.

2.13. Travel Advice and Health Requirements. For medical information, we recommend contacting the Center for Disease Control at (877)FYI-TRIP or www.cdc.gov/travel. Traveler is responsible for understanding any health requirements and recommended precautions relevant to Clients travel and ensure that all Travelers carry all necessary vaccination documentation (e.g. proof of Yellow Fever vaccination), without these requirements, Travelers may be denied entry into a country or invalidate their travel insurance coverage. While GCG continuously monitors the areas visited, it is Travelers responsibility to become informed about the travel areas including any travel advisories and warnings issued by the U. S. State Department. Visit their travel website at www.travel.state.gov or contact them by phone at 1-888-407-4747.

2.14. Authority to Decline or Remove Travelers from Tours. GCG and its Suppliers including tour guides, reserve the right at their sole discretion, to accept, decline to accept, remove or disqualify any Traveler from the tour or provided transportation if in their sole discretion, deem necessary for the comfort, convenience or safety of the tour or other Travelers, including if Travelers behavior is deemed to cause or be likely to cause danger, distress or annoyance to other Travelers or if it is reasonably determined that Travelers condition would adversely affect Travelers health, safety or enjoyment, or that of other participants. If a Traveler is removed from a tour in progress, Traveler will not be entitled to any refund, payment, compensation or credit of any kind for unused or missed services or costs incurred resulting from the termination of the travel arrangements and Traveler will be solely responsible for any travel costs.

2.15. Electronic Communications. Client acknowledges that GCG uses electronic signatures, agreements, notices, disclosures, and other communications, and hereby consents to their receipt. Client agrees that all electronic communications will satisfy any legal requirement that such communication be in writing. Client hereby waives any rights or requirements under any law requiring an original signature; delivery or retention of non-electronic records; or  payments or issuing credits by any means other than electronic means.

2.16. Dispute Resolution. Claims. Any claim, complaint, or request for compensation for any reason under this Service Agreement must be made in writing and sent to GCG via email within twenty-one (21) days of the completion of Clients travel, and include any supporting documentation. Claims or complaints received by GCG after this deadline will not be reviewed. GCG may assist Client with disputes with Suppliers as a courtesy at its sole discretion, but GCG has no obligation to do so, and is not liable or responsible for Suppliers. If any dispute arises between GCG and Client that cannot be resolved by mutual consent, Client and GCG agree to attempt to mediate in good faith for up to thirty (30) days after Notice is provided. If the dispute is not so resolved, and in the event of legal action, the prevailing Party shall be entitled to recover attorney’s fees and court costs from the other Party.

3. SECTION 3:COSTS & PAYMENTS

3.1. Client Obligation to Pay. Client is responsible for and agrees to pay all deposits, costs, fees, taxes and penalties payable to GCG and/or Suppliers for Clients selected Services, Guru Tour and Tour Activities, and is responsible for making all payments by the due dates communicated for each invoice. Any payments made to GCG constitute Clients acceptance of this Service Agreement and its terms. Client understands and agrees that GCG and Suppliers reserve the right to cancel reservations that are not paid in full at any time after payment is due, in which case cancellation charges may apply and any payments may be forfeited.

3.2. GCG Service Fees. Tour Design & Booking Fees. GCG’S fee’s for Services under this Service Agreement is determined by the scope of Clients contemplated travel and selected Services. Client agrees to pay GCG all applicable Service Fee(s) in place at the time of purchase, and which are attached herein as SCHEDULE A: Guru Pro Service & Fee Schedule (“Service Fees”). Creating a personalized travel experience is a very time-intensive task and requires a fee to begin the process. Service Fee’s are always NON-REFUNDABLE even if Client decides not to book with GCG or if Clients Tour Activities, Bookings or reservations with Suppliers are cancelled. Client understands and agrees that, if Client request any additional or different Services then originally contemplated, GCG may charge additional Service Fees in their own discretion (“Additional Service Fees”). Fees will be waived for custom itinerary and tour design at GCG's sole discretion.

3.3. Tour Costs. Client understands and agrees that GCG’s Service Fees DO NOT cover any Tour Costs, or costs for any Tour Activities including, without limitation, travel arrangements, airfare, hotel reservations, tour operator fees, or other costs associated with Suppliers goods and services which may be included in Clients Tour Itinerary and/or travel arrangements (“Tour Costs”). Tour Costs will vary based on Clients accepted Tour Itinerary, and any changes which may occur prior to or during travel.

3.4. Pricing. Price Changes. Additional Charges. Advertised prices are based on current rates of exchange, tariffs and taxes. Price quotes are applicable to the date and time at which they are issued and cannot be guaranteed. Quoted tour prices are generally based on double occupancy and in U.S. dollars, except where indicated otherwise. Client understands and acknowledges that many components of a Guru Tour are dynamically priced and that prices for certain components may fluctuate before and/or after purchase. GCG is under no obligation to give a breakdown in costs of any Guru Tour. Tour pricing, tax, fees, features and availability (including on GCG’s advertisements, website, and Supplier descriptions) are subject to withdraw or modification without notice. GCG and its Suppliers reserve the right to correct promotional or pricing errors at any time, or to increase its prices and implement surcharges to cover increased costs, tariffs, taxes and unexpected or unplanned fluctuations in global exchange markets, activity fee increases, or other reasons. Any modifications to the Clients Tour Itinerary or reservations may result in repricing based on the current rates at the time the changes are made. All Guru Tours are subject to additional costs and fees including but not limited to, tribal tax and the purchase of any required permits. Payment for any required permits will be collected at the time permits are issued. Please be aware all prices are offered in the currency of United States Dollars.

3.4.1. Optional Activities & Local Payments. Optional Tour Activities and any items noted as Not Included in the Tour Costs will be billed as separate items on Clients invoice. Suppliers will collect payment for Clients chosen Optional Tour Activities during their tour. Some Guru Tours may require other local payments to be made to Clients private tour guide or other Suppliers. Clients agree to be responsible for payment of any and all additional Guru Tour related costs and fees incurred prior to, during or after travel. 

3.5. Credit Cards Authorizations. Client is responsible for and agrees to sign a Credit Card Authorization in an amount equal to the quoted Tour Costs plus an additional five percent (5%) when required. Client authorizes Agency to charge the designated credit card for all Tour Costs, including any change fees, price increases, or supplemental payments incurred by Client. If Client is required to make payment directly to a Supplier, a separate signed credit card authorization may be required. Additionally, GCG and/or Supplier may require Client to provide an image of the front and back of the card, along with a driver’s license or other government issued identification of the person named on the credit card. Client agrees to complete any necessary authorizations necessary in delivering the Services contemplated herein. If Clients credit card is declined, Client shall settle any amounts owed to GCG and/or Suppliers immediately.

3.6. Group Travel Payments. Disparities financially, culturally, or personally are each Tour Participants responsibility to resolve and must not affect the overall tour in any way. All Tour costs including any penalties or charges associated with the modification and/or cancellation of a Guru Tour and/or tour related activities must be paid in full by Client. GCG is not responsible for any division of fees and/or costs among other Travelers, and unless otherwise stated in writing, the undersigned Client will remain solely responsible to GCG, and any Suppliers, for all fees and costs.

3.7. Chargebacks. Client agrees not to dispute any credit card charges or purchases for GCG tours, GCG packages, GCG support services, or any other other GCG goods or services as well as purchases made on behalf of the client by GCG via a credit card authorization. GCG retains the right to investigate and dispute any improper chargebacks; to recover any costs, including attorney’s fees; and to cancel any tour or reservations related to improper chargebacks. The following, without limitation, are deemed improper: (1) Chargebacks resulting from non-cancellable reservations, whether or not used; (2) Chargebacks resulting from charges authorized by third parties with direct access to Clients credit card information; (3) Chargebacks arising from inconsistency or inaccuracy with regard to GCG or Tour Supplier’s descriptions; (4) Chargebacks resulting from force majeure or other circumstances beyond the control of GCG and/or its Suppliers ; (5) Chargebacks resulting because Client does not agree with GCG and/or Tour Supplier cancellation, refund or other policies; (6) Chargebacks resulting because of Suppliers  insolvency, bankruptcy, or failure to issue a refund to Client. If Clients payment is disputed, charged back, diluted or revoked for any reason including the unauthorized or fraudulent use of the designated credit/debit card, Client shall be held liable for all costs and/or damages incurred by GCG and agrees to pay all monies owed upon GCG’s notice to Client of such charges. GCG reserves the right to retain any funds due to Client such as refunds or credits to offset against any outstanding balance. Client shall indemnify GCG against any loss that may be experienced due to any, declined charges, chargebacks or fraudulent use of any designated credit/debit card including GCG’s legal expenses. Client hereby waives any objection to GCG’s use of electronic records with Discovery Mastercard, Visa, American Express or similar banks that issue credit cards should it be necessary for GCG to respond to a chargeback.

4. SECTION 4:CHANGES, CANCELLATIONS & REFUNDS

4.1. Client Changes. Client Cancellations. Clients acknowledge and agree that no changes, modifications, cancellations and/or refunds are ever guaranteed by GCG or its Suppliers. Clients understand and agree to be bound by the change, cancellation and refund policies of each Supplier. Any allowable changes and cancellations may incur additional fees, charges and penalties. Client is solely responsible for payment of all additional costs or fees imposed by Suppliers, and any costs incurred by GCG for date changes, itinerary modifications and/or cancellations. If Client decides to cancel a Guru Tour or portion thereof, Client shall remain fully responsible for making any outstanding payments. If GCG is held liable for any requested change and/or cancellation by a Supplier, Client agrees to indemnify GCG for the total amount of such associated costs. If a Traveler is unable to join a Guru Tour, or cancels any tour or portion thereof after the departure date, or if Traveler leaves a tour already in progress, Traveler will not receive any refund or reimbursement for any Tour Costs, including for any unused portion of the Guru Tour.

4.2. Suppliers Changes & Cancellations. All Guru Tours, Tour Activities, Bookings and special request including special accommodations are subject to availability. Reasonable efforts will be made to operate Guru Tours as planned; however, modifications, changes and cancellations may occur at any time after the Tour Itinerary has been issued by GCG and accepted by Client. GCG and Suppliers reserve the right, without penalty, to modify, change and/or cancel any Guru Tour, or Tour Activities, in their sole judgement, whenever conditions warrant or deemed necessary or desirable for consort, convenience, or safety of Travelers, or any circumstances beyond our control, and is not responsible for viewing conditions due to weather. Any changes by GCG and/or Suppliers will not be considered material changes and will not be considered cause for cancellation by Travelers. Any financial expenditures or losses to GCG caused by circumstances outside our control resulting in tour cancellation, delays, itinerary changes, or other adjustments, will be passed on to Client. GCG will not be responsible for any expenses incurred by Travelers in anticipation of a cancelled tour including any non refundable travel expense, coaching or equipment purchases, accommodation costs or similar. GCG or its Suppliers shall not be liable for any air carriers cancellation penalty incurred by purchase of a nonrefundable ticket to or from the tour departure city. 

4.3. Refunds. GCG does not guarantee that any refunds will be issued to Client for any reason. Client understands and specifically agrees that in no event shall GCG be obligated to refund any portion of the Service Fee(s) Client has paid to GCG, except as set forth herein. Client understands and agrees to be bound by each Suppliers cancellations and  refund policies, and any refunds are the obligation of Suppliers. If the Supplier is unable to or refuses to issue a refund to the Client or to GCG on Clients behalf, then GCG has no obligation to issue a refund to Client. GCG is not responsible for a Suppliers failure to pay a refund or for Suppliers cancellations, insolvency or bankruptcy. 

4.4. GCG’s Failure to Perform Services. In the event GCG cannot or will not perform its obligations under this Service Agreement, with no fault attributed to Client, GCG may issue a refund or credit based on the Services rendered, and with account for any costs and fees incurred by GCG.

5. SECTION 5:TERM AND TERMINATION

5.1. Term. This Travel Service Agreement will start on the Effective Date and continue until the earliest of the following occurrences:

(a)  completion of Services; or

(b) effective Notice of termination provided by either Party as set forth herein; or

(c)  twelve (12) months from the Effective Date of this Service Agreement

5.2. Termination.

5.2.1. By Client. Client may terminate this Service Agreement, with our without cause, upon thirty (30) days’ written notice to GCG.

5.2.2. By GCG. GCG may terminate this Service Agreement, with out without cause upon thirty (30) days’s written notice to Client.

5.2.3. Remaining Obligations. Unless otherwise provided in this Service Agreement, termination does not excuse Client from any outstanding payment obligations, or entitle Client to a refund of any portion of amounts paid to GCG and/or its Suppliers.

6. SECTION 6:LIABILITY DISCLAIMER, WARRANTIES & INDEMNIFICATION.

6.1. GCG Disclaimer. GCG, is responsible for making travel arrangements on behalf of Client, through independent Suppliers, and GCG does not own, operate, manage, supervise or control any hotel, restaurant, vehicle or other mode of transportation, event company, or provide the Tour Activities, unless stated otherwise. All Suppliers are independent contractors and are not agents, employees or representatives of GCG. GCG makes no warranty, either express or implied, regarding the suitability, safety, insurance or other aspects of any Supplier or third-party products, services or facilities.

6.2. GCG Limit to Liability. Client understands and agrees that neither GCG, nor its employees, agents, or representative will be responsible for any injury, damage, property damage, accident, irregularity, loss, delay, additional expense or inconvenience caused by any of the following: (i) losses arising from any tour, tour activities, products or services owned and/or operated by any Supplier or independent contractors whose employees, facilities, conveyances, products and services are not subject to GCG’s supervision or control; (ii) directly to indirectly by any act, omission or default, whether negligent or otherwise, of any third party Suppliers not under GCG’s direct control, force majeure or any other event beyond GCG’s control, regardless of whether it was foreseeable; (iii) any matter beyond GCG’s exclusive control, including but not limited to, changes in rates; booking, reservations, connections, or scheduling problems; handling or loss of baggage or other personal effects; any cancellation of any tour, excursion or transportation. GCG does not accept any liability in contract, tort or otherwise, for any special, consequential, incidental, indirect, exemplary or other punitive losses, costs, damages or expenses (“Damages”), which may be caused in connection with Clients travel arrangements, including without limitation, indirect loss, loss of revenue, loss of reputation loss of profits, loss of actual or anticipated savings, lost opportunities, including opportunities to enter into arrangements with third parties, or loss or damage in connection with claims against Clients by others. GCG shall not be responsible for any Suppliers breach of contract or failure to comply with any laws including the Americans with Disabilities Act (ADA). GCG is not responsible for a Suppliers failure to pay a refund or for Suppliers cancellations, insolvency or bankruptcy. GCG shall not be liable to Travelers for any emotional distress, mental suffering or psychological injury of any kind, under any circumstances. GCG will not be liable to Travelers, Travelers’ companions, or group members for any claim unless the occurrence was due to GCG’s own gross negligence or willful fault.

6.3. Entire Liability. Notwithstanding any Damages that the Client may incur, GCG’s entire liability under this Service Agreement, and the Clients exclusive remedy, shall be limited to the actual amount paid directly by Client to GCG as Service Fees under this Service Agreement, and does not include any Tour Costs or amounts paid to Suppliers on Client behalf. Nothing in this Service Agreement shall limit or deprive GCG of the benefit of the applicable statutes or laws of the United States of America or other countries, providing for release from, or limitation of, liability.

6.4. Traveler Assumption of Risk. Waiver. Travelers are solely responsible for their own physical, mental and emotional well-being, decisions, choices, actions/inaction and results arising out of, or resulting from, their participation in the Tour. Client understands and agrees that traveling involves inherent risks, including property damage, risk of loss, injury or death from: motor vehicle collisions; roadway hazards; slips and falls; criminal or terrorist acts; government actions; consumption of alcoholic beverages, tainted food, or non-potable water; uncomfortable accommodations; exposure to the elements, including heat, cold, sun, water, and wind; travelers own negligence and/or the negligence of others including tour guides or other travelers, GCG and its employees members, agents, Suppliers and/or representatives; attack by or encounter with insects, reptiles, and/or animals; accidents or illness occurring in remote places where there are no available medical services; fatigue, chill, overheating, and/or dizziness; known or unknown medical conditions, physical exertion for which you are not prepared or other such accidents; the negligence or lack of adequate training of any third-parties who seek to assist with medical or other help either before or after injuries have occurred; accident or illness without access to means of rapid evacuation or availability of medical supplies or services and the adequacy of medical attention once provided, and any other similar risk. Client understands the description of these risks is not complete and that unknown or unanticipated risks may result in loss, injury, illness, or death. Client acknowledges and accepts all risks and uncertainty involved as being an inherent part of travel and in participating in adventure tours.

6.5. COVID-19 Waiver. Client acknowledges the highly contagious nature of COVID-19, and that exposure to such viruses or disease is an inherent risk of traveling at this time, and beyond the control of GCG. Client voluntarily assumes all risks involved in traveling, including Travelers risk of being exposed, infected, and/or impacted by COVID-19, and which may result in postponement, cancellation, changes in tour, personal injury, illness, permanent disability, and death, for which there may be no refund. Client understands that if Travelers become sick before, during, or after travel and/or are unable to travel, then such cancellation or interruption will be subject to GCG and any applicable Suppliers cancellation terms and conditions, for which GCG will not be liable. 

6.6. Hold Harmless and Release. Travelers on behalf of themselves, their heirs, assigns, personal representatives and next of kin (the “Releasors”) agrees to voluntarily indemnify, defend and hold harmless GCG, its employees, members, agents, assigns, and suppliers (the “Releasees”) from and against any and all Claims, both present and future, arising out of, incident to, or related in any way, in whole or in part from Travelers utilization of GCG’s Services, participation in any Tour, Tour Activities, or this Service Agreement. A “Claim” means any claim, suit, action, lawsuit, causes of action, damage, demand, loss, liability or expense, including, but not limited to attorney’s fees, resulting from Travelers participation in the tour; force majeure; or any loss due to exposure, infection, spread, closure, and travel restrictions related to COVID-19, to the fullest extent permitted by law. Travelers agrees not to sue GCG for any such Claims or join any lawsuit or action for any Claims against GCG.

6.7.Client Representations & Warranties. Client represents and warrants to GCG as follows:

6.7.1. Client has the authority to enter into this Service Agreement, individually, and on behalf of all traveling participants and to perform the obligations under this Service Agreement

6.7.2. Client has or will obtain all necessary permission, rights, and licenses to grant us the use of any permissions, rights, licenses, and materials necessary for GCG and its Suppliers to provide the Services .

6.7.3. Client is responsible for purchasing a tour that fits Clients desired comfort level and only participating in Tour Activities that are suitable for the personal fitness level and capabilities of the group.

6.8. Indemnification. Client agrees to and shall indemnify, hold harmless, and defend GCG, its affiliates, respective officers, directors, agents, employees, independent contractors, successors, and permitted assigns, from any and all Claims, demands, losses, causes of action, damage, lawsuits, penalties, fines, costs, or expenses of actions, judgments, settlements, interest, awards, penalties, fines, costs, or expenses of whatever kind, including, without limitation, reasonable legal and accounting fees and the advancement of same incurred by GCG (“Losses”), arising out of, or relating to, any third-party claim involving or arising out of: (a) a breach or threatened breach of any of Travelers representations, warranties, or covenants contained in this Service Agreement; (b) failure by any Traveler under this Service Agreement to comply with any applicable federal, state or local laws, regulations, codes; (c) any Claims or Losses arising out of a Travelers participation in the travel arrangements, Guru Tour, Tour Activities, orServices under this Service Agreement. GCG shall give Client written Notice after obtaining knowledge of any Losses or the discovery of facts on which GCG intends to base a request for indemnification (“Claim Notice”), and provide Client with reasonable cooperation and assistance as Client may request in the defense of such suit. GCG may select its own legal counsel to represent GCG’s interests, and Client shall reimburse GCG for any costs and attorneys' fees immediately upon request as they are incurred, and remain responsible to GCG for any Losses indemnified. Client will reimburse each indemnified person for all reasonable expenses as they are incurred in investigating, preparing, pursuing, or defending any such action.

6.9. Travel Protection Insurance. GCG STRONGLY RECOMMENDS THE PURCHASE OF TRAVEL INSURANCE COVERAGE FOR ALL TRAVELERS TO COVER CERTAIN RISKS INHERENT IN TRAVEL AND TO PROTECT AGAINST THIRD PARTY SUPPLIER DEFAULT/BANKRUPTCY PROTECTION, DELAY, INTERRUPTION, CANCELLATION, MEDICAL EMERGENCY TRANSPORTATION/EVACUATION & REPATRIATION, BAGGAGE & PERSONAL EFFECTS/LOST LUGGAGE & BAGGAGE DELAY, ILLNESS, ACCIDENTAL DEATH AND DISABILITY, TRAVEL ACCIDENT/SICKNESS MEDICAL EXPENSES, AND MORE. PROPER INSURANCE MAY PROTECT YOU FROM FINANCIAL LOSS IN MANY CIRCUMSTANCES. TRAVEL INSURANCE IS STRONGLY RECOMMENDED BY GCG FOR ALL TRAVELERS TO PROTECT FROM CERTAIN SITUATIONS THAT COULD CAUSE THE TOUR OR TRAVEL TO BE CANCELLED, INTERRUPTED AND/OR DELAYED RESULTING IN A LOSS OF TIME AND MONEY. SUPPLIERS CAN AND WILL IMPOSE PENALTIES EVEN IF TRAVEL IS CANCELLED DUE TO ILLNESS OR EMERGENCY. GCG STRONGLY RECOMMENDS TRAVEL INSURANCE TO COVER SUCH PENALTIES AS WELL AS EMERGENCIES BEFORE OR DURING TRAVEL. BY SIGNING THIS AGREEMENT, TRAVELERS AGREES TO PAY ALL CHARGES, FEES OR PENALTIES, AND HEREBY HOLD GCG FREE OF ANY CLAIMS MADE AS A RESULT OF CHANGES OR CANCELLATIONS OF A TOUR OR RELATED TRAVEL. Declining to purchase adequate travel insurance coverage could result in the complete loss of Clients travel cost and/or require additional funds. GCG is not qualified to answer technical questions about the benefits, limitations, exclusions, and conditions of travel insurance plans, and does not and cannot make recommendations as to the adequacy of the coverages. If any Travelers decline to purchase travel insurance coverage, Traveler will be solely responsible for any and all travel related losses and damages. GCG does not control the policy language, policy provisions, claims handling, insurance acceptance or providers network. Buying an insurance policy is not a guarantee of coverage in all circumstances. Unless specifically agreed by GCG in writing, travel insurance is not included in the cost of the services. Information for travel insurance may be sent to Client upon request. However, client remains solely responsible for obtaining any travel protection and insurance Client wishes to purchase to protect the costs of Clients trip.

7. SECTION 7: GENERAL PROVISIONS

7.1.Choice of Law. Jurisdiction. Notice of Claim. This Agreement will be governed by and interpreted in accordance with the laws of the State of Florida, regardless of conflict of law principles. The location and jurisdiction for the resolution of any disputes arising under this Agreement will be in a court of competent jurisdiction located in the State of Florida. Traveler/Participant understands and agrees that no claims will be considered and that you will not bring suit against GCG unless Participant have first provided a written notice of claim to GCG within twenty one (21) days after the trip or cancellation or the trip. Any Notice, request, demand, or other communication under this Agreement shall be delivered to GCG in writing via email at the address below. GCG will provide Notice to Travelers at the email address provided in this Service Agreement. (“Notice”) GCG Email Address: info@grandcanyonguru.com 

7.2. Entire Agreement; Amendments, and Headings. This Service Agreement along with any additional terms and conditions of our Suppliers or that have been incorporated to this Service Agreement by reference or provided to Client constitutes the entire understanding and Service agreement between the Parties with respect to its relationship and supersedes all prior oral or written negotiations, understanding, representations or service agreements between Participants and GCG, to the extent that they relate in anyway to the subject matter in this Service Agreement, except as specifically noted herein. The Parties may amend this Service Agreement only by the Parties’ written consent. The headings found in this GCG Agreement are provided for convenience only and will not affect its construction or interruption. Client acknowledges that not every provision in this Service Agreement may be applicable to Clients specific Scope of Services to be provided GCG.

7.3. Severability. If any provision of this Service Agreement becomes or is deemed invalid, illegal or unenforceable in any applicable jurisdiction by reason of the scope, extent or duration of its coverage, then such provision shall be deemed amended to the minimum extent necessary to conform to applicable law so as to be valid and enforceable or, if such provision cannot be so amended without materially altering the intention of the parties, then such provision shall be stricken and the remainder of this Service Agreement shall continue in full force and effect.

7.4. Modification & Waivers. No provision of this Service Agreement shall be considered waived or discharged unless the agreed to in writing. The waiver or failure of GCG to exercise or enforce any rights provided for in this Service Agreement shall not be construed as a waiver or limitation of any other rights, or to subsequently enforce and compel strict compliance with any other provisions under this Service Agreement.

7.5. Third Party Relationships. GCG offers tour planning service to Travelers, where the activities and services planned ore provided by separate and independent Suppliers. GCG does not own, operate, control, or otherwise provide the services that independent suppliers perform. Client agrees that GCG acts only as Clients agent in acquiring services related to Clients travel and Tour, and are not responsible for assisting with any recovery of Losses or Damages that Client may incur as a result of the services or conduct by these third-party Suppliers or in the event of their insolvency or inability to provide the services as contracted.

7.6. Subcontracting. Client understands and agrees that GCG has the authority to subcontract with Suppliers and other third-parties without receiving Clients prior permission. Client also understands that, because pricing arrangements between local tour operators and Suppliers can be subject to confidentiality agreements, GCG is not required to give Client an itemized list of costs for individual expenses when booked through a third-party Supplier.

7.7. Commissionable Rates. Client Bookings. Many of the Tour Activities, and travel options for tours booked and services by GCG with Suppliers will be commissionable rates. Client understands and agrees that GCG reserves the right to decline to service trips, tours and tour activities that were booked separately by Clients without prior notice to GCG prior to booking. Clients purchase of any travel reservations which were to be included in the any GCG Tour Itinerary contemplated between the Parties will be treated as a material breach to this Service Agreement, and any Services, Tours, or Tour Activities, may be cancelled by GCG without penalty and Client will not be entitled to a refund of any kind.

7.8. GCG Work Product. Intellectual Property. Permitted Use. GCG retains all right, title and interest in and to any original works, created or produced pursuant to federal copyright and/or trademark law, intellectual property rights or other rights created, developed or acquired by GCG under this GCG Agreement (the “Work Product”). GCG grants to Client a non-exclusive license to certain Work Product intended for Client’s personal use only and without publication. GCG grants to Client a non-exclusive license to certain Work Product, deliverables and intellectual property intended for Client’s personal use, so long as Client provides GCG with attribution each time Client may uses GCG’s Work Product deliverables. Personal use includes, but may not be limited to: personal photos on Client’s personal social media pages or profiles; personal creations, such as a scrapbook or personal gift; or in personal communications, such as a family newsletter or email or holiday card. In the event that GCG determines the Clients use of the Work Product impermissible, Client shall remove such impermissible use within forty-eight (48) hours of Notice from GCG 

7.9. Assignment. This Agreement may not be assigned or transferred by Client without the express written consent of GCG.

7.10. Force Majeure. GCG and its Suppliers shall not be held liable for any injury, loss or damage due to delay, cancellation, or disruption in any manner caused by the laws, regulations, acts or failures to act, demands, orders, or interposition of any government or any subdivision or agent thereof, or by acts of God, acts of war, invasion, or hostilities (whether war is declared or not), curtailment or interruption of transportation facilities, threats or acts of terrorism, State Department travel advisory, national emergency, epidemic, pandemic, labor strike or civil disturbance, acts of civil disturbance or terrorism, government restrictions, outbreaks of infectious disease (including quarantines and limitations on activities that result therefore), utility or communications failures, strikes, fire, flood, war, weather, rebellion, insurrection, sickness, quarantine, epidemics, theft, or any other causes or circumstances that GCG could not, with reasonable care, control or prevent (“Force Majeure Event”). If any Force Majeure Event occurs or any other cause beyond the reasonable control of GCG and or its Tour Supplies, which make it inadvisable, illegal, or impossible, for either Party to perform its obligations under this Tour Agreement, Travelers agrees that GCG shall not be liable for any damages of any kind.

7.11. Counterparts. Electronic Signature and Acceptance. The Parties may execute this Service Agreement   in any number of counterparts, each of which is an original but all of which constitute one and the same instrument. This signing of this Service Agreement via electronic method will hold both Parties in acceptance of this Service Agreement. Electronic signature will be considered legal and binding.

 

SCHEDULE A: GCG SERVICES, BOOKING AND CANCELLATION POLICY & FEE SCHEDULE

Grand Canyon Guru Services, Fees, Booking & Cancellation Policies for Handcrafted Road Trips, Custom Vacation Packages, Tailor Made Private Tours, Small Group Tours and Additional Services.

Scope of Services: GCG shall perform one or more of the “Services” listed below for Client(s).

Fee Schedule: CGC will charge Client(s) the Tour Service Fee(s) (“Service Fees”) listed below. 

Booking & Cancellation Policies: GCG will follow the “Booking and Cancellation Policies” in the "Travel Services Agreement". We strive to keep the information in Schedule A listed below as accurate as possible, but this information is subject to change based on factors beyond our control such as natural disasters, travel interruptions and the “Booking and Cancellation Policies” of our vendors.

Trip Deposits: GCG requires a nonrefundable deposit Per Person for 5-14 Day Trips. This deposit may be waived at the sole discretion of Grand Canyon Guru.  

2 people: $175 per person

3 People: $150 per person 

4 People or more: $125 per person 

Minimum Trip Costs

2 people: $2,500 per person 

3 People: $1,750 per person 

4 People or more: $1,500 per person 

Trip Length and Group Size: Custom trip length and group size minimums may be waived at the sole discretion of Grand Canyon Guru. 

Minimum Trip Length: 5-days

Minimum Group Size: 2 people

Custom Trip Itinerary Design

Itinerary Design Fees will be waived for custom itinerary and tour design at the sole discretion of GCG's. Any special offers for free versions of GCG's custom tour itineraries are strictly for potential clients interested in booking a custom tour with Grand Canyon Guru and may be required to provide additional details or attend a meeting to receive it. GCG only designs and books complete itineraries for the entire trip length that include all listed reservations unless GCG is notified and agrees to the client making additional reservations outside of those included in the custom tour package.

 

Custom Vacation Packages & Handcrafted Road Trip Scope of Services

All trip fee are  custom and  pricing will be provided for client in their  invoice and custom itinerary. Pricing includes Custom Itinerary Design, Unlimited Professional Booking and Support Package and all Lodging, Dining Selections, Select Meals, Tours and Experiences included in your approved itinerary. Incudes up to two itinerary revisions. Deposit is due in order to receive your detailed itinerary. The remaining balance is due upon itinerary approval.

Custom Vacation Package & Handcrafted Road Trip Booking & Cancellation Policy:

Payment in full is due at time of booking your Custom Vacation Package.

Only goods and services listed in the approved itinerary AND included in the quote will be reserved and/or purchased for the client(s) Custom Vacation Package.

Client(s) must notify GCG in writing if they need to modify, cancel, or reschedule their Custom Vacation Package or ANY individual reservations included in the Custom Vacation Package.

Any changes to a Custom Vacation Package can take GCG up to 10 business days to process and may result in a fee of $75 per change. Any additional cost will be charged to the client(s).

Cancellations 30 days or more prior to departure will be charged a 15% cancellation fee (or) receive a tour credit for 100% of the trip cost to apply to a future trip for 2 years from the date of the cancellation.

No refunds for cancellations within 30 days of departure for Custom Vacation Packages. Instead, we offer a tour credit of the remaining monies after all reservations for the Custom Vacation Package are cancelled to apply to a future trip for 2 years from the date of the cancellation.

All cancellations are subject to the terms and conditions of GCG and the vendors used for your Custom Vacation Package. If any lodging, transportation, or activity vendors booked for your tour are forced to cancel your reservation, you will be issued any refund offered under their booking and cancellation policies.

To fully protect your trip, we highly recommend purchasing travel insurance.

All trip fee are  custom and  pricing will be provided for client in their  invoice and custom itinerary. Pricing includes Custom Itinerary Design, VIP Booking and Support and all Lodging, Tours, Experiences,  Dining Selections, Select Meals, Private Vehicle Charter & Personal Guide Days included in your approved itinerary. Incudes up to three itinerary revisions. Deposit is due in order to receive your detailed itinerary. The remaining balance is due upon itinerary approval.

Private Guide and Vehicle Booking Cancellations: cancellations made more than 10 weeks (70+ days) prior to the departure will receive a 25% cancellation fee.

Private Guide and Vehicle Booking Cancellations: cancellations made 10 weeks (70+ days) before or less before the departure date will result in the loss of all money collected.

Non Private Guide and Vehicle Booking Cancellations: cancellations 30 days or more prior to departure will be charged a 15% cancellation fee (or) receive a tour credit for 100% of the reservation cost to apply to a future trip for 2 years from the date of the cancellation.

Non Private Guide and Vehicle Booking Cancellations: No refunds for cancellations within 30 days of departure. Instead, we offer a tour credit of the remaining monies after all reservations are cancelled to apply to a future trip for 2 years from the date of the cancellation.

Any changes to a tour within 30 days of the tour will be charged a $100.00 fee per change and any increase in the cost will be charged to the customer.

If your Private Guide and Chartered Vehicle is forced to significantly alter or cancel your tour, we will let you know as soon as possible. In these circumstances, you can choose one of the following options: a) accept a replacement tour of lower cost (if available) and receive a refund for the difference in cost; or b) accept a replacement tour of equivalent or higher cost (if available); or c) receive a refund of all the money you have paid including the non-refundable deposit.

Additional Professional Booking Fees may be charged at the discretion of Grand Canyon Guru based of the specific tour and booking requirements.

Full Payment is due at the time of booking unless other noted by GCG

Booking and cancelation polices are the same as the Supplier policies unless otherwise noted

GCG may charge a $75 fee for each reservation change after the initial booking is made

Additional services, trip lengths, tours and contracts for larger groups are available for an additional fee based on a custom quote with an hourly rate of $100/hour.
